PARID Board Position Responsibilities

The PARID bylaws define the Board responsibilities under ARTICLE V.  Directors. In addition the Board has promulgated descriptions for each Board position and they are listed here, as well as available for download.

President 

General Duties

  • Oversee the general business of the organization.
  • Represent PARID in all activities (meetings, conferences, events, etc) except those expresslyprohibited by law, or by the organization’s By-Laws.
  • Actively promote and represent PARID by attending local functions, including public forums relating to interpreting issues and the Deaf community.
  • Be actively involved in a local district.
  • Provide an annual state of the organization report to the PARID membership.
  • Provide annual reports to the RID Region I Representative and the RID National Office as prescribed in the affiliation requirements.
  • Co-sign all PARID checks except those expressly prohibited by law, or by the By-Laws.
  • Submit articles to the PARID News quarterly.
  • Appoint members to committees.
  • Serve as an ex-officio member of all PARID committees.
  • Participate in the PARID Board Yahoo group.
  • Respond to all mail, email, and telephone correspondence in a timely manner.
  • The President shall have such other powers and perform such other duties as may be prescribed by the Board of Directors.

Board Meeting and General Meeting Duties

  • Preside during all PARID board and general membership meetings.
  • Submit a written president’s report to the PARID board in preparation for each regular board meeting and annual membership meeting.
  • Approve the draft of the minutes following the meetings prior to distribution.

Regional Duties

  • Participate in the RID Region I Presidents’ Council.
  • Submit reports to the Region I Representative for publication as requested from RID.
  • Participate in the RID Affiliate Chapter President’s list serve.

Vice President

General Duties

  • In the absence or disability of the President, the Vice President shall perform all duties of the President and in so acting shall have all the powers of the President.
  • Actively promote and represent PARID by attending local functions, including public forums relating to interpreting issues and the Deaf community.
  • Serve as the board liaison to at least one PARID committee.
  • Oversee the scheduling of the professional development opportunities in the districts.
  • Submit PARID News articles, as the need arises. (i.e. updates on projects or duties being performed at the request of the Board)
  • Be actively involved in a local district.
  • Participate in the PARID Board Yahoo group.
  • Respond to all mail, email, and telephone correspondence in a timely manner.
  • The Vice President shall have such other powers and perform such other duties as may be prescribed by the Board of Directors. Board Meeting and General Meeting Duties

  • Assist the president in conducting board and membership meetings.
  • Submit written Vice President’s reports to the PARID board in preparation for each regular board meeting and annual membership meeting.

Treasurer

General Duties

  • Actively promote and represent PARID by attending local functions, including public forums relating to interpreting issues and the Deaf community.
  • Serve as the board liaison to at least one PARID committee.
  • Submit a treasurer’s report to the PARID newsletter editor following the “Newsletter Policy”.
  • Be actively involved in a local district.
  • Participate in the PARID Board Yahoo group.
  • Respond to all mail, email, and telephone correspondence in a timely manner.
  • The Treasurer shall have such other powers and perform such other duties as may be prescribed by the Board of Directors.

 Board Meeting and General Meeting Duties

  • Attend all PARID board and general membership meetings.
  • Submit written treasurer’s reports to the PARID board in preparation for each regular board meeting and annual membership meeting.
  • At each meeting, inform the board of the actual account balance and the amount of funds that have been committed but not yet spent.

 Treasury Duties

  • Maintain accurate records of all PARID accounts.
  • Maintain detailed itemized records of all transactions.
  • Pay all bills or reimbursements the organization has incurred following the established procedures.
  • Maintain tax files and appropriate documentation.
  • File all tax forms required by the appropriate deadlines (Form 990 and 1099s).
  • Complete the financial part of the PARID annual report to RID within 60 days of the end of each fiscal year (August 31st).
  • Consult the PARID board on fiscal issues.
  • Propose an annual budget to the PARID board by March 31st of each year.
  • Keep track of all monies in the treasury reserved for each district.
  • Quarterly, verify local district funds with the district representative through a written report.
  • Submit an annual report to each local district informing them of the balance in the PARID account earmarked for the local district.

Recording Secretary

General Duties

  • Actively promote and represent PARID by attending local functions, including public forums relating to interpreting issues and the deaf community.
  • Serve as the board liaison to at least one PARID committee.
  • Be actively involved in a local district.
  • Submit the motions from the approved meeting minutes to the newsletter editor for publication in the newsletter.
  • Participate in the PARID Board Yahoo group.
  • Respond to all mail, email, and telephone correspondence in a timely manner.
  • The Recording Secretary shall have such other powers and perform such other duties as may be prescribed by the Board of Directors.

Board Meeting and General Meeting Duties

  • Attend all PARID board and general membership meetings or send a representative to take minutes who will not have voting privileges.
  • Remind board members to submit their reports electronically to the Yahoo group prior to the submission deadline.
  • Invite the board liaisons to attend board and general meetings and collect their reports. Take minutes during the board meeting. The minutes should be compiled using the template supplied and contain the following: attendance; reports from: president, vice president, recording secretary, corresponding secretary, committees, and board liaisons; motions made; unfinished and new business; upcoming meeting dates and locations; and announcements.
  • Send minutes to the president within two weeks of the conclusion of the meeting. Upon receiving approval from the president, post the draft minutes to the Yahoo group and send an announcement to all board members alerting them of this posting upon receiving the president’s approval of the draft.
  • Compile and disseminate to the interpreters the draft minutes with all reports included using the template supplied prior to the board/general meeting.
  • Supply motion forms to board members for each meeting.

Recording Secretary Duties

  • Maintain a file of all approved meeting minutes.
  • Maintain an up-to-date list of contact information for board members and liaisons. This list is to be published on the Yahoo group site.
  • Provide the PARID webmaster with updated contact information for all board members.
  • Update and maintain the motions database on the Yahoo group site.

Corresponding Secretary

General Duties

  • Actively promote and represent PARID by attending local functions, including public forums relating to interpreting issues and the Deaf community.
  • Serve as the board liaison to at least one PARID committee.
  • Submit corresponding secretary reports for the quarterly newsletter including membership information.
  • Be actively involved in a local district.
  • Participate in the PARID Board Yahoo group.
  • Respond to all mail, email, and telephone correspondence in a timely manner.
  • The Corresponding Secretary shall have such other powers and perform such other duties as may be prescribed by the Board of Directors.

Board Meeting and General Membership Duties

  • Attend all PARID board and general membership meetings.
  • Submit a written corresponding secretary report to the PARID board in preparation for each regular board meeting and annual membership meeting.
  • Provide a current list of members to the annual conference/seminar planning committee.
  • Provide voting cards for the annual meeting.
  • Oversee the credentials table prior to the annual meeting.
  • Ensure that individuals are available to count votes during the annual meeting.

 Membership Duties

  • Receive and process all membership forms.
  • Update and maintain a directory of current membership.
  • Forward the current membership list (when updated) to the president, CMP coordinators, SWAP coordinator, newsletter editor, and district representatives.
  • Send membership dues and the itemized membership report to the PARID treasurer upon completion of processing a batch of memberships.

Correspondence Duties

  • Maintain a running file of communications and correspondence sent and received on behalf of the organization.
  • Send communications on behalf of the organization as directed by the PARID Board of Directors.

District Representative

General Duties

  • Represent the local district in all activities (meetings, conferences, events, etc) except those expressly prohibited by law, or by the by-laws.
  • Actively promote and represent PARID and the local district by attending local functions, including public forums relating to interpreting issues and the Deaf community.
  • Serve as the board liaison to at least one PARID committee.
  • Serve as a contact person for the designated PARID district.
  • Submit articles/news/information to the PARID newsletter editor following the “Newsletter
    Policy”.
  • Inform the PARID board of the district members’ concerns and issues.
  • Conduct district activities as appropriate.
  • Provide an annual report to the PARID president by August 1st of each year using the local district annual report form.
  • Participate in the PARID Board Yahoo group.
  • Respond to all mail, email, and telephone correspondence in a timely manner.
  • The District Representative shall have such other powers and perform such other duties as may be prescribed by the Board of Directors.

Board Meeting and General Membership Meeting Duties

  • Attend all PARID board and general membership meetings.
  • Submit written district reports to the PARID board in preparation for each regular board meeting and the annual membership meeting.
  • Provide a presentation at the general membership meeting on district activities for the past year.
  • Host a PARID board meeting as scheduled.

Local District Duties

  • Preside over local district meetings at least two (2) times per fiscal year.
  • Inform the district members of PARID board news/concerns.
  • Assess the needs of the district, developing short-term and long-term goals.
  • Co-sign all local district fund request forms following the “Policy and Procedures for
    Disbursement of Funds”.
  • Delegate duties to local district members as appropriate.
  • Provide a safe and comfortable environment that is supportive of seasoned, experienced, and
    novice interpreters / PARID members.
  • Outreach to interpreters in the district who are currently not members of PARID.
  • Sign contracts to spend local district funds in accordance with the Policy and Procedures for Disbursement of Funds.

Immediate Past-President 

Duties

  • Assist the President in conducting a smooth transition of leadership.
  • Actively promote and represent PARID by attending local functions, including public forums
    relating to interpreting issues and the Deaf community.
  • Be actively involved in a local district.
  • Submit a written report to the PARID board in preparation for each regular board meeting.
  • Represent PARID in all activities (meetings, conferences, events, etc) as requested by the Board of Directors except those expressly prohibited by law, or by the organization’s By-Laws.
  • Participate in the PARID Board Yahoo group.
  • Respond to all mail, email, and telephone correspondence in a timely manner.
  • The Immediate Past President shall have such other powers and perform such other duties as may be prescribed by the Board of Directors.

PARID Non-Board Positions

Newsletter Editor

  • Publish a quarterly newsletter
  • Collect articles from Board Officers and District Reps to include in newsletter
  • Collect workshop and conference announcements to include in newsletter
  • Periodically publish membership forms for PARID, RID, PSAD in newsletter
  • Include various articles from members or officers if requested by Board
  • Include your own articles, if you want to, and write short “blurbs” as needed
  • Proof-read submitted articles for errors, edit as necessary, and if more then grammar or typo changes are made, review changes with the original author before publishing
  • Consult with Board before including anything that may be controversial or before spending more funds then is usual or customary
  • Shop around for economical printing solution
  • Submit the PARID reimbursement form, with receipts, for expense reimbursement

CMP Coordinator Responsibilities

  • Adhere to the Standards and Criteria for RID Approved Sponsors handbook (current edition) and the RID CMP/ACET Sponsor Instruction Packet (current edition).
  • Maintain accurate and complete records for auditing purposes.
  • Forward money received for CEU processing payments to the PARID treasurer with a written explanation of the funds.
  • Complete and submit the appropriate PARID reimbursement form and receipts for CMP expenses.
  • Submit a quarterly report to the PARID president summarizing the CMP Activities.
  • Submit articles to the PARID News as the need arises.
  • Other CMP Coordinator duties as assigned by the PARID Board of Directors.

    SWAP Coordinator Responsibilities

    • Store the CD-Roms.
    • Send the CD-Rom to requesting members.
    • Maintain accurate and detailed records of materials borrowed.
    • Submit payments and completed CEU paperwork to the PARID treasurer for processing.
    • Submit a list a quarterly report to the PARID president summarizing the SWAP activities.
    • Submit articles to the PARID News as needed.
    • Other SWAP related duties as assigned by the PARID Board of Directors.
